Inventory Information

Vermilion County is required to keep a current inventory of assets over $250.00. These items must have a unique tag number and the information must be given to the Auditor’s office to enter into the County’s Inventory database system.

Each County department is responsible for tagging their equipment and giving the inventory information to the Auditor’s office.

This includes new equipment, updating information about an item or the surplus of an item.


New Equipment

New Assets or Equipment of $250.00 or more:

  • Attach a physical inventory tag on the equipment. (The Auditor’s office will provide the tags.)
  • Complete the Addition/Removal Asset Form and e-mail the information to the Auditor’s office.
  • The Auditor’s office will enter the information into the Inventory System.

Surplus Equipment

Furniture:

  • Please contact Building & Grounds to see if the furniture could be of use for another department. If so, the original department needs to complete the Addition-Removal Asset form for this change.
  • If furniture can not be used by another department and holds value less than $250, the department should complete the Addition-Removal Asset form and donate, recycle, or dispose of item appropriately.
  • If furniture can not be used by another department and holds value greater than $250, please contact the County Board office for to schedule a Property Meeting in order to declare surplus. Once declared surplus by property, then complete the Addition-Removal Asset form.

Technology Equipment:

  • Please contact Technology Services to see if the equipment could be of use for another department. If so, the original department needs to complete the Addition-Removal Asset form for this change.
  • If equipment can not be used by another department and holds value less than $250, the department should complete the Addition-Removal Asset form and donate, recycle, or dispose of item appropriately.

Surplus Vehicle:

  • All vehicles unless currently under the inventory of the Vermilion County Sheriff’s Department need to be declared surplus by the Property Committee before sale or trade.
  • Please contact the County Board office for to schedule a Property Meeting in order to declare surplus. Once declared surplus by property, then complete the Addition-Removal Asset form.
